What's the quick interview on a lead?
Open any lead and find Quick interview — what drives them. While you're on the phone, tap the customer's #1 reason for buying (price, energy bills, storm protection, looks, noise, or low maintenance), then answer the short follow-ups. You'll instantly get a sales play — what to recommend, what to trim if they push back on price, and a closer line. It saves by itself, and Floyd uses the answers in every plan and email for that customer.
How do I change the photos and videos homeowners see?
That's the Funnel tab (owners only). Upload a welcome photo of your best job, paste a Loom or YouTube welcome video, and write one friendly welcome line — the public quote-request page updates the second you save. The backup video there plays on any proposal that doesn't have a personal video attached. Always tap See it like a customer after a change.
How do I give my team their own logins?
Open Settings → Team & roles (owners only). Enter their name, email, a temporary password, and pick a role. Owners see everything; salespeople get leads, quotes, the schedule, the price book, and Floyd — but not Settings, the Funnel, Brand Assets, or exports. You can switch someone's role or remove their login anytime.
How do the margin sliders work on a proposal?
Three speeds. The global slider under Numbers sets your profit on the whole job at once. Drag any item's own slider to break that item out (its Custom box flips on, and the global slider leaves it alone). Set this margin on ALL items is the reset — one margin on everything, all customs cleared. Your costs and margins are never shown to the customer, only final prices.
How do I find a line item fast when building a quote?
Use the search box above the price book dropdown — type a few letters like 36x60 impact and tap the match (Enter grabs the top hit). Searching "impact" won't show non-impact windows, and the other way around. Or tap Speak to add and say the job out loud.
How do I add a lead from a phone call or walk-in?
Go to the Leads tab and hit + New lead. Name or phone number is enough to start — you can fill in the rest later with Edit contact info on the lead.
What's the Lead Gen tab for?
It's your marketing content library (owners only). Make real ads with AI, upload your own photos, save video links, and set your company colors. One tap sets anything as your funnel's welcome photo or videos, and in the Funnel tab every question has a From library button to attach a picture.
How does “Make an ad with AI” work?
Two steps, so you approve the look before any words go on. Step 1: describe the ad — or tap Start from one of your photos to build it from a real job photo — and the AI designs a clean, text-free concept in your company colors. Step 2: if you like it, type your exact headline, supporting line, call-to-action and phone number, tick whether to include your logo, and the finished ad renders with that exact wording. Floyd then proofreads every finished ad — spelling, logo, nothing cropped — and warns you if anything deserves a second look before you post it.
What are AI ad credits?
Every company gets 10 premium AI ads included each month — the counter resets monthly. When they're used up, the ad maker shows Get more ad credits; tap it and your request goes straight to FloteQuote and we set your account up. The basic free ad engine keeps working no matter what, it's just not as polished.
How do I set my company colors for ads?
Lead Gen tab → Company colors box. Type them plainly — like gold, black, white — and it saves by itself. From then on every AI ad builds its palette around your colors instead of generic stock blue.
What's the Project gallery in Brand Assets?
A home for your real job photos, in three buckets: products, people, and projects. Upload straight from your phone. Gallery photos show up first in the ad maker's photo picker, so your ads get built from real work — which always outsells a stock-looking picture.
What is “Use the proven order” in the Funnel tab?
It loads the walkthrough question sequence that's already converting on live sites (window count → impact or non-impact → color → grids → financing → timeline). Tap it, tweak any question or answer choices, move questions with the ↑↓ arrows, then Save funnel changes. Your hosted quote page updates the second you save.
What does “Ask Floyd what he sees” do with photos?
On a lead's Photos panel, Floyd looks at up to four photos and tells you how many windows he can actually see, what style they look like, the frame material, and anything a salesperson should catch — foggy glass, rot, old aluminum frames. He only counts what's visible, never the whole house, and he says so when he'd need a closer shot.
How does a customer sign a contract on their phone?
You tap Copy signing link on the contract and text or email it to them. They open a page that looks like the paper agreement, type their initials in each gold box, type their full name on the signature line, and tap Agree & Sign. It records the time and connection, locks the contract, shows SIGNED in your app, and lands on the lead's timeline. Their signed copy prints from the same link.
How does Floyd talk to my customers?
Floyd is trained on a people-skills playbook: open friendly, give one specific and true compliment when there is one, talk about what the customer wants (a dry house, lower bills, no shutters to hang), ask for the next step as a question, and never invent urgency, use pressure, or take a shot at their last contractor. You always review before anything goes out.
What are the knowledge checks?
Short quizzes in the Help tab — Working a lead, Quotes & margins, Measure sheet & contracts, and (for owners) Funnel, Lead Gen & setup. Each one takes two or three minutes, explains every answer, and you pass at 80%. Your best score saves to your login, and owners see everyone's results in Settings → Team & roles.
How do I write up the contract?
Open the lead and tap Write a contract under Next steps. The customer's name, phone, address, email and your name fill in by themselves, the Total pulls from their newest proposal with the 50% deposit worked out, and the window table pre-loads from the measure sheet. Everything is a dropdown (every one has a Custom — type it option at the bottom) and stays editable until it's signed. Tap Copy signing link and text it to the customer — they initial each page and type their name on their phone. The moment they sign, it locks, shows SIGNED, and lands on the lead's timeline. Open & print gives you the paper copy. Owners change the dropdown lists and legal wording in Settings → Contract setup.
How do I scan a paper form into a customer's file?
On the lead, tap 📄 Scan a document in the Photos panel and snap the paper (or pick it from your camera roll). Drag the four gold dots to the corners of the page, tap Looks straight, and it comes out flat and clean like a scanner did it — switch Black & white or Color, then Save to this customer. Handy when there's no signal at the house: handwrite the measure sheet, scan it in when you're back in range.
How do I measure windows without the paper sheet?
Open the lead, find Measurements, and tap Start the measure sheet — it's the digital version of the window-specs sheet, built for your phone. One card per window: new style, current style, inside and outside opening sizes (write fractions like 71 1/4, same as paper), a tempered checkbox, and a note line for things like "foggy". + Add a window copies the styles from the one before it, so runs of matching windows go fast. Check the existing structure at the top, hit Save, and it's on the lead forever — Print makes a clean copy for the install crew.
Can I put my own photos on a lead?
Yes — open the lead, find the Photos panel, and tap + Add photos. On your phone it opens your camera roll, so you can snap pictures at the house and attach them on the spot. Photos a homeowner sends through the quote page land in the same panel automatically. Tap the little × on any photo to delete it. Customers never see these.
What happens when I mark a lead "Quote Sent"?
Two things: the lead starts getting scored as an open opportunity, and the 4-step follow-up sequence kicks off — quote + video first, then a 2-day check-in, a money-angle email, and a respectful last call. The Today tab tells you when each step is due, Floyd drafts the words, and one tap advances the clock.
How do I send a video message with a quote?
Open the lead and tap Record a video message under Next steps. Three ways to make one: your phone camera, share your screen with a camera bubble (perfect for walking through the numbers on the quote), or upload a file — up to 3 minutes, and you review it before it attaches. It plays right above the pricing on that customer's proposal page. Your phone buzzes the moment they press play and again when they finish, and the lead shows Watched fully ✓ or exactly how far they got. If you still use Loom or YouTube, pasting a link on the lead works too.
How do I collect the deposit?
On the lead, tap Collect the deposit under Next steps. The amount suggests 50% of their newest proposal (you can type over it). Text the link to the customer — they pay by card on a secure Stripe page, the money lands in your own account, and the second they pay the timeline logs Deposit PAID ✓ and your phone buzzes. Nobody at FloteQuote ever sees card numbers.
How do I build and send a proposal?
Proposals tab → + New proposal (or Build a proposal right on a lead). Add items from your price book, drag each item's margin slider to set your profit, then Copy customer link and text or email it. When they hit Accept, the lead flips to Won automatically.
What's "Speak to build"?
Tap Speak to build on the Proposals tab and just say the job: "Ten double-hung windows at 450 cost with a 45 percent margin, haul-away for 150, for Sarah Henderson." Floyd turns it into line items with prices and margins set. Items you've saved in the price book get matched by name automatically.
How do I set up my price book?
Settings → Price book. Add each thing you sell once, with your cost and your price. That's what powers the margin sliders and speak-to-build matching — the better your price book, the faster your quotes.
How do my MI window prices and margins work?
Your MI sheet is loaded — every size, style, and color, organized by category in Settings → Price book. Each item's cost is what you pay, tax included. The price starts equal to cost (zero profit) on purpose: you add profit on each proposal by dragging the margin slider, and the sell price recalculates instantly. Upgrades like grids or rain glass are flat per-window adders — one line, qty = number of windows. Speak a job ("six 36 by 60 impact single hungs in white") and the real numbers attach automatically.
How do I get my schedule on my phone's calendar?
Copy the Google Calendar feed link from Settings, then in Google Calendar: Other calendars → + → From URL → paste. Every appointment you book in FloteQuote shows up on your phone automatically. Each appointment also has its own Add to Google Calendar button.
How do customers request quotes without the full portal?
Two ways, both in Settings → Share links: the quote-request page link (text it, QR-code it, yard signs) and the embed snippet — paste one line into any existing website and the form appears right on the page. Every submission lands in Leads instantly.
Can FloteQuote push leads to Zapier?
Yes — make a Zap with the Webhooks by Zapier → Catch Hook trigger, paste its URL into Settings → Zapier, and every new lead is pushed there the second it arrives. Connect it to anything you used to run through Jobber.
How do I put FloteQuote on my phone like an app?

How do I export my leads?
Leads tab → Export CSV. Every lead with full details — opens in Excel or Google Sheets.
What do the hot / warm / cold scores mean?
Floyd scores every open lead on real buying signals: how soon they want the work, whether they were comfortable with the ballpark, financing interest, whether a quote is already in their hands, and how long since you last touched them. Hot means call today.
How do lead alerts and quiet hours work?
Today tab → Turn on lead alerts (on iPhone, add the app to your Home Screen first, then turn them on). The buzz tells you what happened — a new lead by name, a signed contract, a paid deposit, a watched video. Overnight alerts are held and arrive as one morning digest instead of waking you up. No Zapier, no third party.
How do I delete a lead?
Owners only: scroll to the bottom of the lead and open the red Danger zone → Delete this lead. It asks twice — you have to type DELETE — because it permanently erases everything on that lead: videos, contracts, proposals, appointments, photos, the whole timeline. There's no undo, so use it for test leads and true duplicates, not for lost jobs (mark those Lost so your stats stay honest). Funnel questions have their own red ✕ Remove button in the Funnel tab.
